What is "FileWISE™"?


FileWISE™ is a "smart" subject classification filing system that includes hundreds of pre-set
categories, and sub-categories sorted into a wide variety of subjects. The FileWISE™ System also contains thousands of keywords related to these subjects that make filing your documents and files easy!

What is a Subject Classification System?

Subject Classification Systems group documents or files of similar content and subject together in logical categories, such as financial, tax, legal, personal, family, etc).
In the FileWISE™ subject classification system, documents and files are sorted into a hierarchy (different levels) of primary classes, categories and sub-categories.

What are the FileWISE™ Filing System Products?

The FileWISE™ Filing System is a comprehensive document management system that provides users with a simple, yet powerful solution to organizing, storing, managing and retrieving paper documents and files. There are two (2) FileWISE™ Filing System
Products…the Home Edition and the Business Edition.

The FileWISE™ File Dividers

The FileWISE™ File Dividers (or "file guides") are used with hanging folders and / or file folders to segment documents and files into the different FileWISE™ classifications (Primary Class, Category, and Sub-Category).

These file dividers are color-coded, and contain an icon and name printed on the tab that is related to the FileWISE™ Category / Sub-Category they are associated with. The Filing System products also include 25 Blank Dividers that you can use to create your own custom categories and sub-categories.

The FileWISE™ Software

The FileWISE Filing System Products (Home and Business Editions) also include a CD-ROM that contains utilities that make it easy for you to learn and use FileWISE.
The FileWISE™ Software contains:

How does FileWISE™sort documents into a subject classification?

There are three (3) levels in the FileWISE™ subject classification system. This three (3) tiered system is consistently used throughout all FileWISE products including the Filing System Products and Deluxe Software Product Here is an overview of that system: 

Primary Class
The 1st level of classification in FileWISE™ is known as a "Primary Class"

Let’s take a look at all of the Primary Classes in FileWISE:



Category

The 2nd Level of classification in FileWISE™ is known as a "Category"

In FileWISE™, Categories are "nested" (contained within) inside a Primary Class as shown in this diagram:



Sub-Category

The 3rd Level of classification in FileWISE™ is known as a "Sub-Category"

In FileWISE™, Sub-Categories are nested inside a Category, as shown in this diagram:

How is an actual document filed in FileWISE™?

Let’s examine an example of how a BANK CHECKING ACCOUNT STATEMENT is classified inside the three levels of the Home Edition of FileWISE™ …

The appropriate 1st level (Primary Class) is Financial. The FINANCIAL Primary Class in FileWISE contains 5 Categories where documents and files related to financial matters are classified and stored, as shown in the following diagram:



Please Note that the Categories are displayed in alphabetical order by title (e.g. Assets is 1st, and then Bank, and then Benefits – Insurance and so on).

The appropriate 2nd Level (Category) is Bank.

Since the document in our example is related to BANK, we can ‘open’ Category "C. Bank" to
reveal the sub-categories as shown in the following diagram:



Please Note that the Sub-Categories are displayed in alphabetical order by title.

As you can see from the diagram, there are seven (7) Sub-Category classifications in the Category "C. Bank." These Sub-Categories are labeled from C-1 through C-7.

The appropriate 3rd Level (Sub-Category) is Checking Account.

Since "C-3 Checking Accounts" is the level you are looking for, you can assign this classification and its corresponding ‘FileWISE™ Code" (C-3) to all of you checking account statement documents and files. You can even create additional levels under C-3 to identify a
specific bank name or account number. (e.g "C-3 First National Bank" or "C-3 Checking Account # 12345-Mega Bank")

This same "3 level hierarchy" (order) of Primary Class / Category / Sub-Category is used throughout the rest of the FileWISE™ classification system.

How many Primary Classes, Categories and Sub-Categories are contained within the FileWISE™ Classification System?

In the HOME Edition, there are 5 Primary Classes, 14 Categories, and 137 Sub-Categories

In the BUSINESS Edition, there are 9 Primary Classes, 26 Categories, and 261 Sub-Categories

What are the "FileWISE Keywords" and how can they help me?

The FileWISE™ Keywords are a group of over 5,000 synonymous words that are associated with the subject or topic related to each of the Sub-Catgeories in the FileWISE™ Classification System. 

For example, in the Home Edition, here are the FileWISE™ Keywords for the Sub-Category "C-3 Checking Account Statements"

Balance  Cheque
Bank  Credit Union
Bookkeeping  Date
Books  Endorse
Bounce  Money
Cancelled  Reconcile
Check  Register
Check Register  Savings & Loan
Checkbook

Assigning keywords to items helps you to find all your stuff  within the index quickly and easily by conducting a keyword search.
